WhatsApp automation, South Africa

WhatsApp automation on the Business API, done properly.

Reminders, confirmations, follow-ups and lead replies that go out on their own, on Meta's WhatsApp Business Platform, with approved templates where Meta requires them and your GoHighLevel CRM kept up to date. Every message is tied to something the customer did, which is what keeps a business number healthy.

Looking for the AI that answers the chats? That is the WhatsApp AI chatbot. This page is about what runs around it: the outbound messages, the templates and the CRM.

Hi Thandi, a reminder of your appointment with us tomorrow at 10:30.09:00

Thanks, I'll be there09:14

Great, see you tomorrow. If anything changes you can move it right here.09:14

The honest list

What can be automated on WhatsApp (and what Meta will not allow).

WhatsApp is not email. Meta decides what a business may send, when, and to whom, and a number that sends the wrong things gets restricted. So the useful question is not "what could we blast out" but "what does a customer expect to hear from us next". That list is long enough to save a front desk hours a week.

Automated, on IndunAI today

Appointment reminders, up to four stages before a booking. Confirmation of a booking in the chat that made it, and an ask to confirm attendance where a "no" frees the slot. Review requests after the visit. Polite payment chasers on unpaid invoices. A nudge to a chat that went quiet. Aftercare sent over days, not in one wall of text. An away notice on the dates you are closed.

Switched on per business

Most of these are off until you choose them, and each has its own limits: the chasers stop at a set number, the quiet-chat nudge goes once per conversation and only inside the 24-hour window, and a broken channel is never retried into a drip campaign.

What Meta does not allow

Free-form messages to somebody who has not written to you in the last 24 hours. Messages to people who never agreed to hear from you. And, since January 2026, general-purpose AI assistants on the Business API; an assistant has to be about your business.

Promotions, only when you press Send

Broadcasts are off until you ask. When they are on, a promotion goes out as a template Meta has approved, to the customers you pick, and only when a person presses Send. When somebody replies STOP to a marketing message, the marketing stops and their appointment messages still come.

The one rule to understand

Templates, the 24-hour window and why it matters.

When a customer messages your business, a 24-hour customer service window opens. Inside it you can reply freely. Outside it, WhatsApp only delivers a template: a message Meta has reviewed and approved in advance, with blanks for the name, the time and so on.

Why reminders need one

A customer who booked last Tuesday is well outside the window by the day before the appointment. So the reminder goes out on an approved utility template, which has no window, and a refused send is recorded on the booking where you can see it.

Which ones you need

The dashboard's Templates tab lists every template your switched-on features depend on, per WhatsApp account, and what Meta currently says about each: approved, pending or rejected. Missing ones can be submitted from there.

Why it keeps the number safe

Automations that respect the window never try to sneak a free-form message past it. The quiet-chat nudge, for instance, is simply not sent once the window has closed, rather than falling back to a template the customer never asked for.

Templates and service replies are billed differently by Meta. How, and what that means in Rand, is on the WhatsApp costs guide, so it is not repeated here.

Customer service

Customer service automation.

The support side of WhatsApp automation is about who answers which chat, and what happens when a person is needed.

Team hours

Your people answer during the day; the assistant covers the evenings and weekends. The window is yours to set, separately from booking hours.

Choose which chats it takes

On a busy personal-and-business number, the assistant can answer only the people who came from your Meta ad or typed a phrase you chose, and leave every other chat to you.

Hand-offs that land somewhere

A question that needs a person becomes a hand-off with the conversation attached and an alert to the team. A reply from the team pauses the assistant on that chat, and it comes back on its own after the quiet period you set.

The owner's own shortcuts

From your phone you can WhatsApp your assistant "message Dave: your part arrived" and approve the preview, or ask it where a booking or a form is.

The conversations themselves are answered by the WhatsApp AI chatbot, and the same approach to support across every channel is on AI customer service.

Sales and leads

Sales and lead automation.

A lead on WhatsApp is warm for minutes, not days. The automation here is about answering while they are still looking at their phone, asking the right questions, and making sure the lead exists somewhere your sales people will see it.

Ad leads recognised

A conversation that started from a click-to-WhatsApp ad is marked as one, and can carry a tag onto the contact in GoHighLevel the moment the lead writes in.

Qualifying questions

Your own screening questions, with tap answers where they help, asked before a meeting is offered. The server records the answers word for word.

A form becomes a chat

When somebody fills in a GoHighLevel form, the assistant can open a WhatsApp conversation with them on an approved template, so the lead does not sit in an inbox overnight.

Quiet leads followed up

A lead who stops replying part-way through gets one short check-in in your own words, rotated so nobody reads the same line twice, and a lead going nowhere can be closed politely.

If what you want is an assistant whose whole job is selling, qualifying and booking the call, that is the AI sales agent.

Your CRM

Connecting WhatsApp to your CRM (GoHighLevel).

GoHighLevel is the CRM IndunAI connects to. It is the only one today, and the connection goes both ways. A CRM hiccup never delays or fails a customer's booking; the push to GoHighLevel happens alongside, not in the way.

Contacts and notes

Every booking creates or updates the contact in GoHighLevel, with a note of what was booked.

Pipelines and stages

An enquiry becomes an opportunity, a qualified lead moves stage, a booking moves it again, and a hand-off can move the card to your own "needs assistance" column.

Calendars

Bookings become GoHighLevel appointments, and the offered times can come from your GoHighLevel calendar itself. A cancellation your front desk makes there is read back.

The conversation itself

Optionally, each WhatsApp and website chat message is copied into that contact's GoHighLevel conversation as it is sent, both directions.

Your phone keeps working

Coexistence: keep the WhatsApp Business app on your phone.

Meta's coexistence lets one number live on the WhatsApp Business app and on the Business Platform at the same time. For a small business that is usually the deciding factor: the owner keeps chatting from the phone they already use, and the automations run on the same number.

You reply, it steps back

A message you send from the app is mirrored to the instance and treated exactly like taking over from the dashboard: the assistant pauses on that chat.

The old chats stay old

When a number joins, Meta can share months of past conversations. The assistant never answers that archive; it only notes which numbers already talk to you, so an alert can say "an existing client".

Connected in Meta's window

Coexistence is chosen in Meta's own Embedded Signup window, opened from your dashboard, by scanning a code with the app on your phone.

What it costs

What it costs.

IndunAI is from R1 450 a month including VAT for up to 300 conversations, plus a once-off R2 500 setup, with the automations above included; 300 to 500 conversations is R2 250 a month. Managed is R4 995 a month with setup included, 2,000 conversations and build items within reason, such as a particular CRM hand-over. A workflow IndunAI does not do at all is priced per project. Meta's WhatsApp fees are separate and billed by Meta to your own WhatsApp Business account.

The detail of those Meta fees, and a worked example you can put your own numbers through, is on what WhatsApp costs a South African business. For automation beyond WhatsApp, see AI automation and custom AI development.

FAQ

Fair questions.

What is the WhatsApp Business API?

It is Meta's WhatsApp Business Platform, the Cloud API: the way software, rather than a person on the app, sends and receives WhatsApp messages for a business. It is what makes interactive lists, approved templates and automated reminders possible. IndunAI connects your number to it through Meta's own Embedded Signup window, so you do not need a developer.

Can I send bulk messages?

Yes, on request, and never on its own. A promotion goes out as a WhatsApp template that Meta approves first, to the customers you choose, and only when a person at the business presses Send; anyone who replies STOP stops getting marketing. It is switched off until you ask for it. Everything else the assistant sends is tied to something the customer did: a booking, a visit, an invoice, a conversation that went quiet. Meta prices marketing messages as its most expensive category.

Can I keep using the app on my phone?

Yes, with coexistence. The number stays on your WhatsApp Business app and on the assistant together. When you reply from the app, the assistant pauses on that chat so the customer only hears from you.

Does it work with GoHighLevel?

Yes, and it is the one CRM IndunAI connects to today. Contacts, notes, pipeline stages, tags and calendar appointments are kept up to date, the offered times can come from your GoHighLevel calendar, and a GoHighLevel form can start a WhatsApp conversation.
