AI automation, South Africa

AI automation for the work between the enquiry and the invoice.

IndunAI does AI automation for South African small businesses, aimed at the front office: the enquiry answered on WhatsApp or your website, the booking made in your real calendar, the reminder sent, the quote and the invoice prepared, the follow-up done. Hosted in Johannesburg, one isolated instance per business, from R1 450 a month including VAT plus a once-off R2 500 setup; fully managed is R4 995 a month.

Hi, how much for a service and can you fit me in this week?19:48

A standard service is R850 on our price list. Thursday 09:00 or Friday 13:00 are open. Which suits you?19:48

An illustration of the pattern. The price comes from your own list, the times from your own diary, and the invoice is computed by the server from the finished booking.

What we automate

What we automate, and what we will not.

Most AI automation in South Africa is sold as a platform you have to learn. What a small business usually needs is narrower and more useful: the repetitive work that starts when a customer gets in touch and ends when the money is in. That is the stretch IndunAI automates, on the channels your customers already use.

Enquiries and customer service

The assistant answers on your own WhatsApp Business number, in a chat bubble on your website, and by email if you want it to, at any hour. It answers from what you have told it: your services, prices, opening hours and a set of questions and answers you write and edit yourself. Where it does not have a fact, it says it will check with the team rather than inventing one, and anything on your list of no-go topics goes to a person with the whole conversation attached. The longer version is on AI customer service.

Bookings and reminders

Appointments go into the calendar you already use: Google Calendar, a CalDAV calendar, or GoHighLevel. Free times are read from the diary itself, per service, and a slot is claimed by the database once, so two people cannot take the same one. Reminders go out a set number of hours before, on the channel the customer booked on, and on WhatsApp they use an approved Meta template so they still arrive days after the last message. A practice can also ask the customer to confirm, and free the slot when the answer is no. More on AI appointment booking.

Quotes and invoices

Quote automation and invoice automation are where a chatbot usually gets dangerous, so here the AI does not do the sums. A quote request lands in your dashboard, you price it, and it goes out on the customer's own channel, where they can accept it in the chat. Where your rate card prices by the unit, per page or per word, the server multiplies the customer's stated quantity by your rate on the spot, and the quote can go out as a PDF on the same paper as your invoices. After a job, the invoice is priced by the server from your service list, VAT included, and you choose how it leaves: sent automatically, put to you on WhatsApp for one tap, or queued for you to approve.

Follow-ups and reviews

Once an appointment is safely in the past, the assistant can ask the customer for a review with your Google review link, once per booking and never on repeat. A conversation that went quiet halfway can get one polite nudge inside WhatsApp's 24-hour window. Both are switches you turn on; neither nags. If you sell as much as you book, the lead side is on the AI sales agent.

Forms and admin

A form the assistant hosts itself is sent as a button in the chat. The customer fills it in on their phone, the answers are filed as one PDF against the booking, and the answers never sit in the chat thread. The team gets told when it comes in. Requests, bookings, cancellations and forms all land in one rolling list on the dashboard, so the admin is in one place rather than spread across a phone.

What we will not automate

Anything that publishes on your behalf without you. Clinical, legal or financial advice. Bookkeeping, payroll and your accounting package. And we do not answer phone calls today: the assistant answers messages.

What stays a person's job

The judgement calls. A hand-off goes to your team with everything already asked, and you can step into any conversation from the dashboard and take it over yourself.

What the AI never decides

Whether a slot is free, what something costs, or what an invoice adds up to. The model writes the words; the server checks the facts. Why that matters is on custom AI agents.

Two kinds of automation

Workflow automation vs AI automation: where each fits.

These get sold as the same thing, and they are not. Workflow automation tools, the Zapier, Make and Power Automate kind, move structured data between apps when something happens: a form is submitted, so a row is added and an email is sent. They are good at it, and if your problem is two systems that do not talk to each other, that is the right tool.

AI automation is for the part that arrives as a sentence. "Hi, do you have anything Saturday, and roughly what would a full set cost?" is not a trigger a workflow tool can act on. Somebody has to read it, answer the question, ask the one thing that is missing, and then do the booking. That is the part IndunAI does, and it is why the assistant sits in the conversation itself rather than behind it.

Use workflow automation when

The input is already structured, the steps never change, and nobody needs to be spoken to. Keep the tool you have for that.

Use AI automation when

The input is a customer's own words, the next step depends on what they said, and the job ends in a booking, a quote or a hand-off to a person.

Where they meet

IndunAI has no Zapier connector today. Its CRM connection is GoHighLevel, which can also call the assistant back, for example to pause a conversation. Anything else is a scoping question, answered before we quote.

POPIA and hosting

Where your data goes.

Automation means your customers' details pass through one more system, so it is worth knowing exactly where. Each business runs on its own isolated instance with its own database, hosted in a Johannesburg data centre. The AI model that composes the replies runs outside South Africa, and each instance's privacy notice says so rather than hiding it.

Your own instance

Not a row in a shared table. Your conversations, bookings and forms sit in a database that belongs to one business.

Your own notices

Every instance publishes its own privacy policy, terms and PAIA manual in your business's name.

Deletion that works

Old conversations are cleared on a retention clock, and a person's request to be erased can be honoured from your own dashboard, calendar event included.

The model's terms

On our provider account, its API terms provide that content sent through the API is not used to train its models; on a client's own AI key, that provider's terms apply instead.

What the Act asks of a business running an AI assistant is set out on POPIA and AI chatbots.

Off the shelf, or built for you

Most of it already exists. Some of it gets built.

The pieces on this page run in production today, so for most businesses the work is configuration: your services, prices, hours, questions and rules loaded into your own instance. You can start from the documents you already have: upload a price list or a brochure and the dashboard drafts the settings from it for you to check before anything is saved.

FAQ

Fair questions.

What can AI automate in a small business?

The repetitive work around customers: answering enquiries on WhatsApp, web chat and email, booking appointments into your real calendar, sending reminders, preparing quotes and invoices from your own prices, handing out and filing forms, asking for reviews and following up on conversations that went quiet. It does not do your bookkeeping, it does not answer phone calls, and it hands the judgement calls to a person.

How is this different from Zapier or Power Automate?

Those tools move structured data between apps when a trigger fires. IndunAI works on the unstructured part: a customer's own message, which has to be read, answered and turned into a booking, a quote or a hand-off. Many businesses use both. IndunAI has no Zapier connector today; its CRM connection is GoHighLevel.

How long does it take to set up?

Most of the time goes into your own information, not the software: services, prices, hours and the questions customers ask. You can upload a price list or a brochure and the dashboard drafts those settings for you to check. We give you a timeline once we know what you need, not before.

Do I need new software?

No. The assistant answers on the WhatsApp Business number you already have, the website chat is one line of code, and bookings go into Google Calendar, a CalDAV calendar or GoHighLevel. You manage it from a web dashboard.

Is my customers' data safe?

Each business runs on its own isolated instance with its own database, hosted in a Johannesburg data centre, with its own privacy policy, terms and PAIA manual. The AI model that composes replies runs outside South Africa, and the privacy notice says so. On our provider account, its API terms provide that content sent through the API is not used to train its models; on a client's own AI key, that provider's terms apply instead.

What does it cost?

R1 450 a month including VAT for up to 300 conversations, or R2 250 a month for 300 to 500, plus a once-off R2 500 setup to connect and configure the assistant as it is, set up around your business. The Managed plan is R4 995 a month with setup included, 2,000 conversations a month and build items you ask for within reason. Bigger work on top is scoped in writing and priced once you have signed up, and work IndunAI does not do at all is priced per project. Meta's WhatsApp message fees are separate and are Meta's.
