The no-show was decided days before the empty chair.
It was decided when the booking got no reminder, when no deposit made it real, and when the enquiry sat unanswered long enough for the excitement to cool. IndunAI works those three moments: it answers the "DM to book" enquiry in the same minute, sends the WhatsApp reminder before the appointment, and takes the deposit you set before the slot is confirmed. R1 450 a month including VAT.
No lever makes no-shows zero, and anyone promising zero is selling. These make them rarer, and make the ones that still happen cost less, because a deposit was paid and the slot was worth something.
online, replies in seconds
Reminder: your colour with Nadia is tomorrow at 10:00. Reply here if anything has changed.10:00
Eish, tomorrow is suddenly a mess. Can we rather do Thursday?10:12
Let me look. Thursday 10:00 or 14:30 are open with Nadia. Which one?10:12
14:30 please10:13
Moved to Thursday 14:30. Tomorrow's 10:00 is released. See you then.10:13
An illustration of the pattern. The reminder turns a silent no-show into a reschedule, and the freed slot goes back on sale.
The arithmetic of an empty chair
What a no-show actually costs.
A chair earns nothing while it waits. The colour that was mixed, the stylist who stood ready, the walk-in you turned away for a booking that never came: that is the real bill, and it lands hardest where the slots are longest. A tattoo sitting blocks out half a day for one person; when they ghost, the artist's whole afternoon goes with them. A clinic's consultation slot is the same story with a waiting list attached.
The unreminded booking
Most no-shows are not malice, they are life plus a forgotten diary. A reminder the day before, on the app the customer actually reads, catches the clash while there is still time to fill the slot.
The free-to-break booking
A booking that cost nothing to make costs nothing to skip. A deposit, even a small one, changes what the slot means to the person holding it.
The cooled-off enquiry
"DM to book" only works if somebody answers the DM. An enquiry answered days later is answered after the excitement has gone, and half-hearted bookings are the ones that get broken.
Machinery, not hope
The levers, and what each one actually does.
Everything below is standard IndunAI machinery, switched on and tuned by you. The AI answers the conversation; the reminders, deposits and follow-ups are server jobs that run whether or not anyone is at the desk.
WhatsApp reminders
Sent before each confirmed booking, at hours you choose, on the channel the customer booked with. One reminder per stage per booking, never a drip, and a reply to the reminder lands in the same chat where a reschedule can actually happen.
Deposits, where you set them
Per service, flat or a percentage. The slot is held until the money is verified: automatically through PayFast, or by you confirming the proof of payment. Unpaid holds expire and release the slot. The money goes to your own account; we never hold funds.
Same-minute answers
The enquiry is answered while the intent is hot, at 23:00 as at 09:00, and booked into the real diary with the details taken. A quiet enquiry can get one polite nudge, if you switch that on, and only ever one.
Review requests after
Once the appointment is safely past, the customer is asked for the review with your link. That is the other half of the book: the full chair tomorrow is built on the happy customer from today saying so in public.
What deposits look like in the market, reported as common practice among South African businesses and not as our advice: salons often ask R100 to R200 to hold a booking, and tattoo studios commonly ask around R600 or 50 percent of the sitting, off the final price. Yours is your call, per service, and the system charges exactly what you set.
In your own vocabulary
The chair, and the sitting.
Tattoo studios
In most SA studios a "DM to book" enquiry waits two or three days for a reply, because the artist answers between clients. That wait is where sittings die: the person messaged three studios, and the flash they loved is a passing mood.
Answered in the same minute, the enquiry becomes a proper booking instead: reference pics, placement and size in cm collected up front, the consult or the sitting into the diary against the right artist, and the deposit ask going out while they are still excited about the piece. The reminder lands before the sitting, and the aftercare follow-through stays your studio's own voice.
Salons and aesthetics
The colour with your best stylist, the lash fill, the six-session package where missing one throws the plan out: each is a long slot sold to one person, and the chair cannot be resold at 09:55.
The assistant answers the WhatsApp and Instagram-driven "are you open Saturday" rush, books against the right stylist's own column, sends the reminder the day before, and asks for the review after. Packages rebook, quiet regulars get a nudge if you switch that on, and the deposit on the no-show-prone services is your rule, applied every time, so nobody has to be the bad guy at the basin.

The price, on the page
Less than one saved sitting a month.
R1 450 a month including VAT, with a 14-day free trial and no card needed. That covers the answering, the bookings, the reminders, the deposit machinery, the review requests and the marketing drafts: the whole front desk, not a no-show add-on. AI usage for up to 125 customer conversations a month is included, then R250 per extra 100, and done-for-you setup is R2 500 once-off if you would rather hand over your price list.
The full job description and the rest of the numbers are on the AI receptionist page. And if your week's other leak is the enquiry that arrives while you are mid-client, that page exists too: missing calls while you are on a job.
Said plainly
The honest edges.
It does not answer voice calls; it answers WhatsApp and website chat, in text. No lever here makes no-shows zero. A deposit deters the casual booking as well as the broken one, which is exactly why the amount stays your decision per service rather than ours. And the hard conversations, the allergic reaction question, the cover-up consult that needs an artist's eye, the clinical question, are handed to a person with the whole conversation attached, not improvised by an AI.
FAQ
Fair questions.
How do I stop no-shows at my salon or studio?
With machinery rather than hope: a reminder on WhatsApp before the appointment, at hours you choose; a deposit where you decide a service needs one, with the slot held until the money is verified; and an answer in the same minute the person enquires, because a booking made while the intent is hot is a booking that gets kept.
None of it makes no-shows zero, and anyone who promises zero is selling. It makes them rarer and it makes the remaining ones cost less.
What deposit do South African salons and tattoo studios charge?
Common practice, not our advice: salons often ask R100 to R200 to hold a booking, and tattoo studios commonly ask around R600 or 50 percent of the sitting, off the final price.
On IndunAI the deposit is yours to set per service, flat or a percentage, and the slot is only confirmed once the money is verified, either automatically through PayFast or by you confirming the proof of payment. The money goes to your own account; we never hold funds.
Does it send appointment reminders on WhatsApp?
Yes. Reminders go out before each confirmed booking on the channel the customer booked with, WhatsApp for WhatsApp and phone contacts, email for email bookings, at the hours you set.
A customer who books days ahead still gets theirs, and each reminder stage you set is sent once per booking, never as a drip.
My studio takes days to answer DMs. Does that actually cost bookings?
In South African tattoo studios a two or three day wait for a reply is normal, because artists answer between clients. The person enquiring, meanwhile, has messaged more than one studio.
Answering in the same minute does not just win the booking, it starts it properly: the reference pics, placement and size in cm are collected up front, the consult or sitting goes into the diary, and the deposit ask goes out while they are still excited about the piece.
What does it cost?
R1 450 a month including VAT, which covers AI usage for up to 125 customer conversations a month; past that it is R250 for every extra 100. There is a 14-day free trial with no card needed, and done-for-you setup is R2 500 once-off.
The reminders, deposit machinery, review requests and re-engagement nudges are all part of it, not add-ons.
Does this work for a clinic or aesthetics practice?
Yes, with one honest caveat: health information is special personal information under POPIA, so a practice should set it up deliberately.
There is a live medical receptionist demo at /medical showing where the line sits, and the assistant hands clinical questions to a person rather than answering them.
Ask the demo to book you a sitting.
The live demo is a real assistant on a real diary. Book something, move it, watch the reminder logic explained, or put it on your own number free for 14 days and count the empty chairs at the end of the month.
