What to actually compare on.
The brochures all say 24/7 and AI-powered. The differences that cost you money later are these six, and every one of them is checkable on a vendor's own site.
- The price of the tier where AI answering starts A CRM's entry tier is not an AI receptionist price if the AI receptionist lives three tiers up. Find the tier that actually answers customers, and compare that number.
- The unit on the meter Per business, per user, per conversation or per message. A per-user price multiplies as the team grows; a per-message cap empties faster than a per-conversation one, because one booked appointment can be forty messages.
- Channels WhatsApp, web chat, phone calls. No South African supplier covers all three well at small-business prices; know which one your customers actually use before you weigh anything else.
- Where the data lives, and in whose name Which country, shared platform or isolated instance, and whether the privacy notice your customers see is published in your business's name or the supplier's.
- Published or hidden pricing A supplier who publishes the number lets you decide in your own time. One who quotes on a call is pricing the call, not the product. Neither is dishonest; only one is comparable.
- Whether the demo is the real product A demo shows you the product's behaviour before you pay, and vendors differ on whether the demo is the live product or a scripted sample. Ask which one you are being shown.

Chat ladders with message caps
Published ladders starting under R500 a month, and publishing the number at all deserves credit in this market. The entry tiers typically answer FAQs only, under a monthly message cap, with bookings arriving higher up the ladder. The meter is usually per message where ours is per conversation, so compare units before numbers, and ask any vendor, us included, whether the demo you are shown is the live product. Bespoke, priced by consultation
